Zoom Phone Migration

Tulane University is transitioning from the Clearspan system to Zoom Phone as the current system is reaching its end of life. This will be the only phone option/system for the University. This migration offers end users three options Softphone, Hardphone or both. 

Softphone: Utilizes your computer to answer phone calls through the Zoom application.

A softphone is a software-based phone that allows you to make and receive calls using your computer. It operates through the Zoom application, providing a virtual phone interface. 

  • Portability: Use it anywhere with an internet connection.
  • Integration: Seamlessly integrates with other Zoom services like video conferencing. 
  • Cost-Effective: No need for additional hardware. 

Example: Using your laptop or smartphone with the Zoom app to make calls. 

Hardphone: A physical device on your desk used to make calls. 

A hardphone is a traditional desk phone that connects to the Zoom Phone system. It functions like a regular phone but with advanced features provided by Zoom. 

  • Reliability: Consistent performance with dedicated hardware.
  • Familiarity: Similar to traditional phone systems, making it easy for users who prefer physical devices. 
  • Advanced Features: Includes options like call forwarding, voicemail, and more. 

Example: Poly Edge 220 and Poly Edge 550 desk phones.

  • Flexibility: Users can forward calls to their cell phones 24/7 or set specific business hours. 
  • Advanced Features: Includes call recording, voicemail transcription, call forwarding, and integration with other Zoom services.

Transition Process

  1. Identify Phones: Determine which phones need to be retained. Each phone incurs a charge, so removing unneeded phones results in savings.
  2. Decision Making: Departments decide whether end users need a physical hard phone or can transition to a softphone.
  3. Phone Number Migration: Existing phone numbers will be ported to the new Zoom Phone system, ensuring continuity and minimal disruption.
  4. Training Sessions: Training sessions will be offered to end users, along with a one-page tip sheet handed out before migration.
  5. Department/School Migration: Phones will be migrated by department/school to ensure a smooth transition.
